How to Fix "Unlicensed Product" in Microsoft Office – LicenceHouse guide

A red "Unlicensed Product" bar in Word or Excel is one of the most common Office problems we help with, and it is usually fixable in minutes once you know the cause. This guide explains what the message means and works through the fixes in the order that solves most cases first.

What does "Unlicensed Product" mean in Microsoft Office?

"Unlicensed Product" means Office cannot find a valid, activated licence on your device, so Microsoft switches off most editing features until activation succeeds; your documents remain safe and readable, but you cannot create or edit files normally until Office is activated with a matching product key or subscription account.

The banner can appear in the title bar of every Office app at once, because all apps in a suite share the same licence. Microsoft's support article on Unlicensed Product and activation errors in Office describes the same symptom and its main causes.

One nuance: Office does not uninstall itself or delete anything when it becomes unlicensed. The fix is about the licence, not the files, so avoid reinstalling Windows or wiping the PC as a first step.

Why does Office say "Unlicensed Product"?

Office shows "Unlicensed Product" when the licence it expects is missing, expired or blocked; the most common causes are signing in with the wrong account, an expired trial or subscription, two Office versions installed together, a key for a different edition, a lapsed KMS activation or incorrect date, time and network settings.

Cause Typical sign First fix
Wrong Microsoft account "We couldn't find any Office products" Sign in with the account linked to the purchase
Expired trial or pre-installed offer New laptop, banner after some weeks Enter your own key or renew
Two Office versions installed Two Office entries in Apps Uninstall the one you do not use
Old or wrong key stored ospp.vbs lists an unexpected licence Remove it with /unpkey
KMS activation lapsed Work PC used away from the office Reconnect to the company network or ask IT
Date, time or network issues Activation fails with no clear reason Set time automatically, check firewall and proxy

What we commonly see is a new laptop that came with a Microsoft 365 trial alongside the Office version the customer actually bought. The trial expires, the banner appears, and Office keeps pointing at the trial licence instead of the purchased one.

How do I fix "Unlicensed Product" in Office step by step?

Work through the fixes in this order: sign in with the correct account, remove any extra Office installations, enter or change your product key under File then Account, clear old licences with ospp.vbs, check date, time, firewall and proxy settings, and finally use phone activation if online activation is refused.

  1. Sign in with the account linked to your purchase.
  2. Uninstall any second Office version, restart and test.
  3. Enter or switch the product key in File, Account.
  4. Remove old keys with ospp.vbs and activate again.
  5. Check date, time, firewall, antivirus and proxy settings.
  6. Use phone activation as a fallback.

Test Office after each step rather than doing everything at once. That way you learn which change fixed it, which matters if the banner ever returns.

How do I sign in with the right account?

Open Word, select File then Account, and check which account is shown; if it is not the Microsoft account you used to redeem the key, or the work account your organisation licensed, sign out, sign in with the correct one and reopen the apps so Office can find the licence linked to it.

Microsoft suggests trying each personal email address you own, plus any work or school account, and confirming the product appears on the Services and subscriptions page of your Microsoft account. A licence redeemed on one account is invisible to Office while you are signed in with another.

For a Microsoft 365 subscription, also confirm it is still active on that page. If it shows as cancelled or expired, renewing it is the fix, and no product key change is needed.

How do I remove extra Office installations?

Open Settings, Apps or Control Panel, Programs and Features, and uninstall every Office version you do not intend to use, such as a pre-installed Microsoft 365 trial or an older Office 2016 or 2019, then restart the PC and open Office again to see whether the banner has gone.

Two suites on one PC each bring their own licence, and Office may report the one that is unlicensed. If activation still fails after removal, Microsoft recommends running an online repair of the remaining Office installation.

Some leftovers survive a normal uninstall. Our guide to completely uninstalling old Office covers Microsoft's removal tools and the order to use them.

How do I enter or change the Office product key?

Open any Office app, select File then Account, and under Product Information choose the Switch License option, then select Enter product key instead, type your 25-character key and confirm; if that option is missing, install the latest Office updates first, or use the ospp.vbs command shown below for volume editions.

Microsoft's article on changing your Office product key explains that most newer retail versions are linked to a Microsoft account rather than a stored key, so signing in may be enough. For those editions the key is redeemed once and the account carries the licence afterwards.

Make sure the key matches the edition installed. A key for Office Professional Plus 2024 will not activate Home and Business, and a volume (LTSC) key needs a volume installation, as explained in our guide to Office product IDs for the Office Deployment Tool.

How do I remove old licences with ospp.vbs?

Open Command Prompt as administrator, change to the Office16 folder, run cscript ospp.vbs /dstatus to list installed licences, remove any unwanted one with /unpkey followed by its last five characters, install your key with /inpkey and run /act to activate, then reopen Office to check the result.

  1. Run Command Prompt as administrator.
  2. Type cd "C:\Program Files\Microsoft Office\Office16" (use Program Files (x86) for 32-bit Office on 64-bit Windows; some versions add a \root\ folder).
  3. Run cscript ospp.vbs /dstatus and note the last five characters of each key.
  4. Run cscript ospp.vbs /unpkey:XXXXX for each licence you do not own.
  5. Run cscript ospp.vbs /inpkey:XXXXX-XXXXX-XXXXX-XXXXX-XXXXX with your key.
  6. Run cscript ospp.vbs /act and read the result.

Microsoft notes that ospp.vbs does not work for Microsoft 365 Apps or subscription versions of Project and Visio. If /dstatus shows nothing for a subscription install, that is expected, and the account sign-in route above is the correct fix. Our guide on checking Office activation status explains how to read each line of the output.

Why does Office become unlicensed after working for months?

Office that worked for months and then turns unlicensed usually depends on renewal: a volume copy activated by a KMS host must renew within 180 days, a Microsoft 365 installation must check in online at least every 30 days, and a pre-installed Microsoft 365 offer expires if it is never redeemed.

According to Microsoft's KMS activation documentation, a KMS client tries to renew every 7 days by default. If it cannot reach the host for 180 days, it enters a 30-day out-of-tolerance period with notifications, then an unlicensed state with a red title bar.

That cause and effect matters for buyers. A copy activated through a company KMS host is tied to that network, so a work laptop taken home permanently will drift into "Unlicensed Product". A home PC that shows a KMS licence it never paid for is a warning sign, which our article on KMS activator risks explains.

What else can block Office activation?

If the account and key are correct, check the environment: set date, time and time zone to automatic, run the Office app as administrator, install the latest Office updates, and make sure a firewall, antivirus product or proxy is not blocking Microsoft's activation servers, as Microsoft lists each of these as known causes.

On a brand-new PC with pre-installed Office, Microsoft explains that Office activation can fail until Windows itself has finished activating, which may take up to 30 minutes. Check Settings, System, Activation first, then open Word again.

For Microsoft 365 subscriptions on Windows 10 or later, Microsoft also offers the Microsoft 365 activation troubleshooter, which must run on the same PC. It checks the account and licence state automatically and is a reasonable next step before contacting support.

When should I use phone activation?

Use phone activation when Office accepts your key but online activation keeps failing because of network restrictions, a proxy, or a message asking you to call; the activation wizard shows an installation ID, you enter it in Microsoft's automated phone system, and you type the confirmation ID it returns to complete activation.

Phone activation is mainly relevant to one-time-purchase and volume editions that use product keys. It does not apply to Microsoft 365 subscriptions, which activate through account sign-in.

Our step-by-step guide to activating Office by phone shows each screen. If you bought your key from us and none of these steps work, email support@licencehouse.com with a screenshot of File, Account and the /dstatus output, and our team will help.

Frequently asked questions

Can I still open my documents when Office says Unlicensed Product?

Yes. Office keeps your files intact and normally lets you open, view and print them while unlicensed, but editing and creating new documents are disabled. Your documents are stored separately from the licence, so once activation succeeds, full editing returns without any need to restore or convert files.

Will reinstalling Office fix Unlicensed Product?

Sometimes, but it is rarely the best first step. Reinstalling often brings back the same licence problem if the wrong account is signed in or an old key is still stored. Check the account, remove extra versions and clean licences with ospp.vbs first, then repair or reinstall if needed.

Why does my new laptop show Unlicensed Product?

New laptops often include a Microsoft 365 trial or a pre-installed offer that expires or was never redeemed. If you bought a separate Office version, uninstall the trial, install your purchased edition and activate it with your key or the account you used to redeem it.

Does Unlicensed Product mean my product key is fake?

Not necessarily. Most cases come from the wrong account, a second Office version or an edition mismatch. A key that Microsoft has blocked produces a specific activation error code instead, so check the code shown in the activation dialog against our list of Office activation error codes.

Does this fix work on a Mac?

The account steps apply to Mac too, but ospp.vbs is Windows-only. On a Mac, sign in with the account that holds the licence and remove conflicting licence files if more than one version is installed; our Office 2024 for Mac guide covers the Mac-specific steps.
